By booking a trip with Advent Himalaya Treks, you confirm that you have read and agreed to the following terms. Please read them carefully before paying a deposit.
Booking and payment
A deposit of 30% of the total trip cost is required to confirm your booking. The remaining balance is due no later than 30 days before your departure date, unless a separate arrangement has been confirmed in writing.
To process your booking and arrange permits, we require the following from every traveller:
- Full name (as it appears on your passport)
- Date of birth
- Nationality
- Passport number and expiry date
- A clear copy of your passport photo page
- Gender and profession (required for permit applications)
NOTE: Accommodation throughout the trek is arranged on a twin-sharing basis unless a private room upgrade has been booked and confirmed. Single room supplements, extra nights, and services outside the confirmed itinerary are charged separately. Prices are confirmed at the time of booking.
Advent Himalaya Treks reserves the right to adjust pricing if government permit fees, taxes, or transport costs change after your booking is confirmed. If this occurs, we will notify you in writing before requesting additional payment.
Date Changes
Requests to change departure dates must be submitted in writing at least 30 days before the original departure. All changes are subject to guide and permit availability and may incur an administration fee of [amount]. Requests made within 30 days of departure will be treated as a cancellation and new booking, in accordance with the cancellation terms outlined below.
Cancellation policy
All cancellations must be submitted in writing to info@adventhimalayatreks.com , adventhimalayatreks@gmail.com Cancellation charges are calculated from the date we receive written notice:
- More than 30 days before departure — 20% of total trip cost
- 15–29 days before departure — 35% of total trip cost
- 7–14 days before departure — 40% of total trip cost
- Within 7 days of departure, or after arrival in Nepal — no refund
Refunds are processed after deducting bank transfer fees, payment processing charges, and any costs already paid to third-party suppliers (permits, domestic flights, pre-booked accommodation) that are non-refundable to us. We will provide an itemised breakdown of any deductions made.
No refund is provided for unused services, voluntarily missed days, or portions of the itinerary the client chooses not to complete.
Itinerary changes
Advent Himalaya Treks reserves the right to alter itineraries where circumstances make the original plan unsafe or impossible to complete. This includes but is not limited to: severe weather, trail closures, flight cancellations, natural disasters, political disruption, government restrictions, or medical emergencies affecting the group.
Where itinerary changes result in additional costs: extra accommodation nights, alternative transport, revised permits; these costs are the responsibility of the client. We will make every effort to minimise additional expenses and will communicate changes as early as possible.
We do not offer refunds for itinerary changes made necessary by the above circumstances. This is why comprehensive travel insurance is a condition of booking with us.
Travel insurance
Travel insurance is mandatory for all clients. Your policy must explicitly cover:
- Trekking at altitude above 5,000m
- Emergency helicopter evacuation from a remote area
- Medical expenses and hospitalisation in Nepal
- Trip cancellation and curtailment
- Loss or damage to personal belongings
Before your departure, we will ask you to confirm your policy provider, policy number, and emergency contact number. A helicopter evacuation from a remote trekking area without insurance costs approximately USD $4,000–$7,000. We cannot begin a trek without confirmation that adequate insurance is in place.
Health, fitness, and altitude
Trekking in Nepal involves sustained physical exertion, high altitude, and remote conditions. You are responsible for ensuring you are physically prepared for your chosen itinerary.
Disclose any pre-existing medical conditions, prescription medications, or relevant health history before your departure. This information is used only to help us plan your trek safely; it will not be shared with third parties.
Altitude sickness can affect anyone regardless of fitness level or previous trekking experience. Our guides are trained to recognise and respond to altitude-related illness. If a guide determines that a client must descend for safety reasons, that decision is final. No refund is provided for costs arising from a medically necessary early descent.
Children
Travellers under 18 must be accompanied by a parent or legal guardian for the full duration of the trip. Parents and guardians are responsible for assessing whether a chosen itinerary is suitable for their child's age, fitness, and health.
We do not recommend the Larkya La Pass crossing or similar high-altitude routes for children under 15. We will advise honestly on suitability when you enquire; please tell us the child's age and any health considerations at that stage.
Photography and media
Our guides occasionally photograph the trail and trekking conditions for documentation purposes. We do not photograph clients for commercial use without explicit prior consent.
If you would like to share photographs, reviews, or other content with us for use on our website or social media, please confirm this in writing. We will not use client images or testimonials in any promotional material without your written permission.
Responsibility and liability
Adventure travel involves real and inherent risks. Advent Himalaya Treks takes every reasonable precaution to provide safe, well-managed trips. We cannot accept liability for injury, illness, loss of property, death, or additional expenses arising from weather events, natural disasters, political situations, flight cancellations, trail closures, altitude-related illness, the actions of third-party suppliers, or other events outside our direct control.
By booking with us, you acknowledge that you understand the risks involved in high-altitude trekking and accept personal responsibility for your own safety and decisions on the trail.
Privacy
Personal information collected during booking is used solely to arrange your trip, process permits, and communicate with you about your journey. We do not sell or share your personal data with third parties except where required to arrange permits, accommodation, or transport on your behalf.

Governing law
The laws of Nepal govern these terms. Any dispute arising from services provided by Advent Himalaya Treks is subject to the jurisdiction of the courts of Nepal.

If anything in these terms is unclear before you book, contact us before paying a deposit, not after. We would rather answer questions upfront than have a misunderstanding affect your trip.
