This policy explains what personal information Advent Himalaya Treks collects, why we collect it, how we use it, and what rights you have over it. If you have a question this document doesn't answer, contact us directly before using our services.

What information we collect and why

When you enquire about or book a trip with us, we collect the information necessary to arrange it. This includes:

Full name, email address, and phone number — to communicate with you about your booking
Date of birth, nationality, and passport details — required by the Government of Nepal for trekking permits; we cannot arrange permits without this information
Emergency contact details — held in case of a medical emergency on the trail
Travel preferences, dietary requirements, and medical disclosures — used to plan your trek safely and communicate relevant information to guides and teahouses

We do not collect personal information we don't need. We do not ask for financial information beyond what is required to process payments through our payment provider.

How we use your information

Your information is used solely to arrange and support your trip. Specifically:

Processing your booking and confirming arrangements
Applying for trekking permits with Nepali government authorities
Coordinating accommodation, transport, and guide assignments
Communicating with you before, during, and after your trip
Complying with legal requirements under Nepali law

We do not use your personal information for marketing purposes without your explicit consent.

Who we share your information with

To arrange your trip, we share relevant information with:

Government permit offices (Nepal Tourism Board, TAAN, and relevant conservation area authorities) — permit applications require your passport details and personal information as a legal requirement
Domestic airlines (for flights to Lukla, Pokhara, Nepalgunj, or similar) — name and passport number required for ticketing
Accommodation providers along your route — name and arrival date shared for reservation purposes
Your assigned guide and porter — name, nationality, and any relevant medical or dietary information shared to support your safety on the trail

We do not sell, rent, or share your personal data with any third party for commercial or marketing purposes.

How long we keep your information

We retain booking records, permit copies, and trip documentation for a year after your trip, as required by Nepali law for tax and legal compliance. Passport copies and personal identification documents are deleted once your trip is completed unless we are legally required to retain them longer.

If you would like your data deleted earlier, contact us, and we will remove what we are legally permitted to remove.

Your rights

Depending on where you are based, you may have the following rights regarding your personal data.

Access — you can request a copy of the personal information we hold about you.
Correction — you can ask us to correct inaccurate information.
Deletion — you can ask us to delete your personal data, subject to any legal obligations that require us to retain it.
Objection — you can object to certain uses of your data.
